Quick summary: To get more Google reviews, ask every customer within 24 hours of finishing the job, send a direct review link by text, and follow up once by email. Automate the request so it does not depend on anyone remembering. Do not filter who gets asked. Review gating violates Google's policies and FTC rules, so ask all customers and resolve problems before the request goes out.
Most happy customers will leave a review if you ask at the right moment and make it take under a minute. Most businesses do not ask, or ask once a year in a batch.
This guide covers the system: the link, the timing, the automation, and the wording.
Why do Google reviews matter for local businesses?
Reviews affect both rankings and conversions.
In Whitespark's 2026 Local Search Ranking Factors report, high star ratings rank sixth and review count ranks ninth among local pack factors, with review recency just outside the top ten.
BrightLocal's 2026 Local Consumer Review Survey of 1,002 U.S. adults found:
- 74% look for reviews written in the last three months
- 31% will only use a business rated 4.5 stars or higher, up from 17% in 2025
- 85% are more likely to use a business after reading positive reviews
Recency is the takeaway. A business with 300 reviews and nothing since last year looks less active than one with 80 reviews and four from this month.

How to create a Google review link and QR code
- Sign in to your Google Business Profile.
- Select Ask for reviews (or "Get more reviews").
- Copy the short link. It opens the review box directly.
- Paste the link into any free QR code generator to create a code.
Put the QR code on invoices, leave-behind cards, the front counter, and vehicle wraps. Test it on both iPhone and Android before printing.
When is the best time to ask for a review?
Ask when the customer has just experienced the result. The right moment depends on the business.
| Business type | Best moment to ask |
|---|---|
| Home services (plumbing, HVAC, roofing) | Same day, after the walkthrough |
| Dental and medical | Within two hours of the visit |
| Law firms | At case resolution or after a milestone |
| Restaurants | With the check, via QR code |
| Auto repair | At vehicle pickup |
In our experience, text messages get a much higher response than email for home service businesses, because the customer is already on the phone they will use to write the review.
How to automate review requests
Automation removes the reason most review programs fail, which is that staff forget to ask.
The trigger. Connect your CRM, scheduling, or invoicing software to a review tool. Use "job marked complete" or "invoice paid" as the trigger.
The sequence.
- Text message, one to two hours after the trigger. Short, personal, with the direct link.
- Email, two days later, only if no review was left.
- Stop. Two requests is enough. A third feels like spam.
The safeguards. Exclude customers with an open complaint or unpaid dispute until it is resolved. That is sequencing, and it is allowed. Do not exclude people based on a satisfaction score.
Send requests as jobs finish. A hundred requests in one afternoon can produce a spike that Google's filters treat as suspicious.

In person
"We are a small local company and reviews are how people find us. I am going to text you a link. Would you mind sharing how today went?"
Mention the technician or staff member by name. Reviews that name an employee and a service read as more credible and tend to include useful detail.
What is review gating, and is it allowed?
Review gating means asking customers how they feel first, then sending only the happy ones to Google and routing the unhappy ones to a private form.
It is not allowed. Google's policy prohibits discouraging negative reviews or selectively soliciting positive ones. The FTC's rule on consumer reviews, in effect since October 2024, also prohibits review suppression and incentives tied to positive sentiment, with civil penalties per violation.
There is no compliant version of gating. Here is what you can do instead.
| Not allowed | Allowed |
|---|---|
| Sending the Google link only to customers who rate you 4 or 5 | Sending the Google link to every customer |
| Offering a discount for a 5-star review | Thanking customers after they review, with no conditions |
| Hiding the review link from unhappy customers | Giving everyone a private feedback option alongside the public link |
| Writing or buying reviews | Asking real customers for honest feedback |
| Review kiosks at your office on one device | Customers reviewing from their own phones |
The compliant way to protect your rating is to fix problems before the request goes out. A quick "is everything working the way you expected?" at the end of a job surfaces issues while you can still resolve them.
What should you do after reviews come in?
- Respond to every review within a few days. BrightLocal found 80% of consumers are more likely to use a business that replies to all reviews.
- Share them on your website and social profiles.
- Track monthly count and average rating in a simple spreadsheet.
- Recognize staff who are named in reviews. It keeps the team asking.
Do not panic if a review disappears. Google's filters sometimes remove legitimate reviews, especially from new accounts or when several arrive at once.

Frequently asked questions
How many Google reviews do I need?
Enough to match or exceed the top three businesses in your map pack, plus a steady monthly flow. For many local markets, four to eight new reviews a month keeps a profile current.
Can I offer a gift card for a Google review?
No. Google prohibits offering incentives in exchange for reviews, and the FTC prohibits incentives conditioned on a positive review.
Can employees or family members leave reviews?
No. Google treats reviews from employees, owners, and people with a conflict of interest as fake engagement and can remove them.
Why did my customer's review not show up?
Google's spam filter holds or removes some reviews. Common triggers are brand-new Google accounts, reviews posted from your office network, and a sudden burst of reviews.
